Operations Director
Active Voice is seeking an Operations Director to work in our San Francisco office. The Operations Director reports to the Executive Director and will be responsible for developing and maintaining systems to facilitate efficient workflow organization-wide. This work includes, but is not limited to:

OPERATIONS

  • Overseeing implementation and maintenance of organization’s operational procedures.
  • Supervising administrative support staff in regards to office management, reception, equipment maintenance, etc., and overseeing the delegation of administrative tasks across projects.
  • Overseeing foundation grants management, including proposal submissions, interim and final reporting, etc.
  • Developing, implementing and enforcing organizational protocols (travel policy, reception protocol, etc.).

FINANCIAL

  • Development of projected fiscal year budget, and overseeing cash flow.
  • Budget tracking and expenditure forecasting across all project, and quarterly budget reviews.
  • Managing accounts payable and receivable, including check processing, invoice creation and tracking, check deposits, petty cash, and expense reimbursements.
  • Creating budgets for proposal submissions, and collaborating with staff in the drafting and review of proposal narratives.

CONTRACTS

  • Reviewing all contracts with clients, vendors, etc. Coordinating with legal teams, as necessary, and serving as liaison to the Executive Director.
  • Drafting of contracts for subcontractors and clients. Coordinating with legal teams, as necessary.

HUMAN RESOURCES

  • Supporting human resource needs (timesheet tracking and submission, etc.), and coordinating with fiscal sponsor’s Director of Human Resources and Administration when necessary.
  • Supporting recruitment and operational orientation of new staff and consultants.

The ideal candidate has at least five years of management-level experience working directly with operations, finance, contracts and human resources in a small and fast- paced – preferably nonprofit – office setting. S/he is effective communicating (written and oral) with a range of clients and vendors. The work requires strong multi-tasking abilities, attention to detail, cultural competency, a high level of organization and teamwork skills. S/he should be comfortable working closely with senior staff on multiple projects both under deadline and long term.

Applicants must be able to oversee key components, such as electronic file system, email, shared calendar, database, etc. S/he must be proficient in Microsoft Office programs, especially Microsoft Excel, and Outlook. Experience with FileMaker Pro, Adobe Photoshop, Adobe InDesign, basic media formats, web maintenance, post-production, material development, business development and/or project management a strong plus.
